Email Settings


General Settings













Email Notifications

Enabling email notifications will send an email appointment notification internally and externally to your customers.





Location Settings



Each location is encapsulated within a section. Each location is compressed by default but may be expanded by clicking the "+" button on the right end of each location. A location may also be deleted by clicking its "Remove Location" button followed by the "Save" button.

Note: Simply clicking the "Remove Location" button will not delete a location. "Save" must also be clicked in order to truly delete a location. 

Required Fields (underlined in picture)

  • Location Name
  • Address
  • Phone Number
  • Timezone


Location Name

Enter in the name of the location associated to the Ship-To number in the text box provided.

Address

Enter in the address of the location associated to the Ship-To number in the text box provided.

Phone Number

Enter in the phone number of the location associated to the Ship-To number in the text box provided.

Timezone

Enter in the timezone of the location associated to the Ship-To number in the text box provided.

GSX Ship-To

The Ship-To number is optional and is provided to all GSX customers by Apple. This allows access to the GSX API. This number is associated to a particular location of the same company. If your company has multiple locations use this entry to setup a location.

Note: Please enter the entire account number including any leading zeros. Must be a 10 digit number.

GSX Tech ID

The Tech ID is optional and is provided to all GSX customers by Apple. This allows access to the GSX API. This ID is associated to an employee of the same company. If your company has multiple locations use this entry to setup a location.

Note: ID is alphanumeric and is 10 characters long.

Appointment Scheduler Enabled

Enables the email notifications for each location. 

Email Template

The email template sent out internally and externally to your customers based on location.

Notification Email

This entry establishes the internal employee notification email.


To complete location(s) setup:

  • Click the "Save" button in within the Location Settings panel to save your settings.





Customer Email Notification


This section allows you to customize the contents and look of your email that is sent out to your customers.


Template Name

This entry displays the name of the template currently selected.

Email Logo

The email logo utilized for all email templates.

Note: Only has to be uploaded once. Can be overwritten by uploading a new logo. For best overall look, use a transparent png file.

Reply-To Email

This entry establishes which email address is used to send out emails to customers.

To setup the Reply-To Email:

  • Enter the email in the text box provided.
  • Click the "Save" button in the section to save your setting.


Email Subject

To setup your Email Subject simply enter the subject in the text box provided.


Banner Color

Select a Banner Color by clicking on the color block and selecting a color of your choice.


Email Template Editor

The content editor is a fully featured tool allowing you to easily build your customer email template.


Optionally, you can set up your template to send out specific content based upon the appointment type.

  • Available product codes: IPOD, IPAD, IPHONE, WATCH, APPLETV, MAC, BEATS, HOMEPOD, AIRPODS
  • Chunks of text/HTML can be inserted between {{#if productCode.MAC}} and {{/if}}

Thank you for your interest in having your {{product}} serviced at our store on {{reservationDate}}! We hope that your upcoming visit is a great one, and here are a few tips to help with that process.

Preview your Email

To preview your custom email notification click the "Preview" button at the bottom of this section.


Default Email Template

As a first-time user, a blank default template titled "Empty Template (Edit, Rename and Save Me)", is created for you. We encourage you to rename this. A default email template must always exist and cannot be deleted.

To set a new default email template:

  1. Click the "Select or Create Template" button in the Customer Email Notification panel.
  2. Click the "View/Edit" button of the template you wish to set as the new default.
  3. After the template loads, check the "Default Template" checkbox above the Template Name entry.
  4. Click the "Save" button at the bottom.

Note: If you use an HTML Template, the HTML will be a clean Template. The HTML templates will NOT show the banner or your logo. If you use HTML, you will have to host your own images for them to be used in your HTML templates.

User-Friendly Editor


The content editor is a fully featured tool allowing you to easily build your customer email template.


HTML Editor












The HTML editor allows complete control over the look of your email template.



Preview your Email



To preview your custom email notification click the "Preview" button at the bottom of the Customer Email Notification section.
Note: Preview will also display HTML templates.





Customer Email Notification - Location-Based Template Creation, Selection and Deletion



Multiple email templates may be created. Each template can be associated to a single location of your choice. However, the default email template is used for all locations unless a different template is selected.

To view the list of templates, click the "Select or Create Template" button in the Customer Email Notification section.

Template Labels

There are two types of email templates that can be created, HTML and user-friendly.

Note: Only HTML templates display the orange label and the default template is always the blue label.

View/Edit Template

In order to view or edit a template, click the "View/Edit" button.


Delete Template

A template may be deleted by clicking the red "trash" button. A warning dialog box will pop up to confirm deletion.



Switch Template Editors

To switch from a user-friendly email template to an HTML template, click the "HTML Editor" button at the bottom of the Customer Email Notification panel. The same can be said when switching from a user-friendly template to an HTML template, except the button will display the opposite of the current template's type.

Note: Switching to a new template type will overwrite the previous template. A pop-up window will confirm the switch in order to prevent accidental clicks.



Create A Template


To create a new email template:

  1. Click the "Select or Create Template" button in the Customer Email Notification panel.
  2. Click the "Create Template" button.
  3. Enter a template name and select template type
  4. If the new template is to be the new default, check the "Make Default" checkbox.
  5. Click the "Create Template" button.
  6. Edit your new template.
  7. Click the "Save" button to save the new email template.
